1. How do I start working with ControlDOCS?
Simply contact our Client Support department at 972-239-9200 or send an e-mail to: support@controldocs.com. We will walk you through the account setup process. Alternatively, you can submit a Fast Quote Request.

2. What kind of hardware do I need?
Minimum system requirements are:

Windows 98, ME, NT, 2000 or XP with a Pentium 3 or greater processor
128 Mb of RAM (256 Mb recommended)
Any Internet connection (T1, DSL, or other high-speed access recommended but not required)

This means that you can search, retrieve, and view your secure archived documents from any location and from any computer that has Internet access. You can also provide others this same kind of access by allowing them to have their own User IDs and passwords.

3. Do I need any special software?
To use the Internet to search for and view your documents, you only need a supported browser:

Internet Explorer 5.5.2 or later
Netscape Navigator 6.0 or later

To take advantage of our full level of document review, printing, annotation, and remote coding, you will also need to download the latest version of CDOCViewer. Please note that CDOCViewer is available at NO COST to our clients.

4. How do I obtain CDOCViewer?
You can download CDOCViewer directly from our web-site (once you have logged in).

If you would like installation help (or an installation CD), call your Account Representative at ControlDOCS, or send an e-mail to support@controldocs.com.

Please note, you may need administrative access to your computer to complete the installation. This varies from office to office and depends on your IT department's policies and settings.

6. How does ControlDOCS handle Electronic Discovery?
ControlDOCS has combined proprietary processes and software to create a premiere Electronic Discovery offering, E-Doc. From your electronic files, E-Doc harvests text and meta-data, creates snap shots of the data, (in the form of .tif images), and establishes links to copies of the original files (in native format). We can either host the output of this process on our web-siste or provide load files for your own document database.

7. How many fields can I have "coded"?
ControlDOCS allows you to create up to 250 customized fields to help you classify and sort your documents for coding and searching. However, most clients find that 7 or 8 basic bibliographic fields (such as To:, From:, dates, documents types, etc.) are more than enough.

8. Can I add fields after the database has been coded?
Yes! Just contact your Account Representative. Once a field is added, our coders go back and review each document to capture the additional information for the new field. There is a nominal fee for this service.

1. How do I access my documents once they are hosted by ControlDOCS? Simply go to www.controldocs.com and click on the "Priority Client Login" box. Enter your UserID and password. From there, you simply follow the on-screen instructions to select the database you want to view and enter the text and/or content you wish to search for.

2. How do I get UserIDs and Passwords? When you open an account, or when you create a Client Services order with your Account Representative, you will be asked to provide a list of those individuals who need online access to the documents. Working with your Account Representative, you can also add users and authorize them to view just those databases you specify. Once authorized, ControlDOCS assigns a UserID and password and the approved user is sent a package that includes a reference manual and instructions for obtaining CDOCViewer software.

3. What if I need multiple levels of user accessibility? No problem. You can specify the level of security and access each user enjoys when you sign up them up for a password. You can control which documents they can view, print, and annotate, in addition to controlling which databases they can view. You have complete control and can make changes whenever it becomes necessary.

4. How secure are my documents? Very! ControlDOCS uses a state-of-the-art Internet firewall and secure web servers that permit only those users who are properly authenticated as end users to access your search pages. The secure web server determines which databases each UserID is allowed to access. All search transactions take place in SSL (Secure Socket Link) encrypted sessions to keep them from being viewed by prying eyes as they travel across the Internet.

5. Can ControlDOCS archive documents to CD-ROMs? Absolutely! Documents can be "printed" to CDs or to paper, whichever you desire. Approximately 10,000 images can be captured on one CD-ROM. In addition, ControlDOCS can also print sequential Bates Numbers and/or any other case-specific template information requested.

6. Does ControlDOCS send work off-shore? No! Unless you direct otherwise all work is done domestically by ControlDOCs

7. How often is my data backed up? ControlDOCS performs nightly backups and regularly rotates the media to a secure off-site facility, ensuring that redundant backups are always available.

8. How does the cost of using ControlDOCS compare to using a traditional "paper" method? Generally speaking, the cost of using ControlDOCS is roughly 1/10th the cost of a standard paper research method. This takes into account all expenses, including salaries for a staff of paralegals and clerks to perform the research as well as the cost associated with misfiled documents, the printing and shipping of documents, and digital archiving. In addition to the cost savings, research time is drastically improved and human error is all but eliminated.

ControlDOCS output also allows for full text searches on your documents.

The full-text for your paper documents comes from our OCR (optical character recognition) process. For electronic documents, we pull the full-text directly from the electronic file.
